Turnkey Time and Attendance Data Collection

Project Introduction: Keyology, LLC (www.KeyologySoftware.com) is an IT company focused on providing the Gaming and Hospitality industry with a turnkey Time and Attendance solution that eases workforce management through the delivery of accurate, timely information and intuitive, customizable end user features. Keyology's ON-TIME Time & Attendance™ System (OTA) is the first system designed by experts in the gaming and hospitality industry. From user-friendly software to a streamlined time clock, each of the system's software and hardware features has been specifically designed with the unique needs of gaming and hospitality in mind. OTA gives managers the flexibility to easily control a company's largest monthly expense - its employees. The system's intuitive design helps reduce costly errors by providing concise information with minimal maintenance. Using a comprehensive set of tools, managers can:

  • Clearly pinpoint potential problems (i.e. Clocking in too early) and approve or change employee time immediately upon clock out.
  • Send messages to an entire department or to a specific individual as they clock in… i.e. "Happy 10th Anniversary!"
  • Set up rules to automatically deduct break time from an employee's daily time record.
  • Avoid any tedious time calculations since OTA does it automatically (i.e. 4/10, 5/18, 1.5x minimum wage, etc)!
  • OTA's multi-lingual design enables the system to display information in each employee's preferred language, allowing ease of use and clear communication. Users won't find confusing multicolored buttons on the time clock - OTA comes in a tight, elegantly engineered package pressed from solid aluminum sheets with a bullet proof display. Other features include a magnetic and infrared card swipe, optional biometric, and a slanted top to protect against spilled drinks. Designed with convenience and flexibility in mind, OTA runs on the same platform as Infinium, so additional servers are not needed.
  • Keyology's parent company, Key Consulting Software (KCS), is one of the most revered consulting companies in the gaming industry. Drawing on 20 years of its own industry expertise, KCS worked closely with several other prominent gaming companies to compile the hundreds of requirements for ON-TIME Time & Attendance... it truly is a system that is "Built by Gaming People, Speaking the Gaming Language, For the Gaming Industry."

System Requirements: The Gaming and Hospitality industry requires the use of a durable, functional, and dependable time keeping system that is simple (on the surface). The hardware for the system must withstand the use of thousands of employees each day, impact from carts, employee's fingers and badges, pens, water and swinging doors. The security of the software behind the clock must also be bullet proof so that the unit will not be broken into by outsiders. The unit must be light weight, highly technically advanced, and installed on almost any surface. The computer within the unit must process thousands of records a day, work with a myriad of software languages, and be exceptionally dependable. Together, Advantech and OTA succeeded in achieving these requirements… plus many, many more.

Project Implementation:

TPC-660G: 6.4" VGA TFT LCD Geode LX800 Touch Panel Computer

System Description: Custom design of the casing, including: venting system, slanted top for "spill proofing", scratch resistant touch screen panel PC, integration with IDTECH magnetic stripe and barcode reader, security lock with easy-open hinge, wall mount, low heat emission unit, and custom logo. Together Advantech and Keyology created a system that is fully dynamic and allows customized features and functionality for each individual client… making timekeeping easy. Highlights of the hardware include:

  • 6.4" color, flat screen, touch panel PC
  • Touch screen: 8mm protective silicone layer for scratch resistance and impact protection
  • Casing: Aluminum-Magnesium with clear Alodine for increased corrosion resistance
  • PC front panel: NEMA4/IP65 Compliant (waterproof)

  • Dual magnetic stripe (3 tracks) & barcode reader (visible red or infrared)

Conclusion: The TPC-660G, with all its abilities, has allowed Keyology to develop a time clock that has the industry "wowed". The unit works flawlessly with Keyology's software, is extremely durable, and has been very reliable.
